Illustrative walkthrough

StillBooked recovers missed calls, after-hours calls, and mid-treatment overflow for independent day spas and skin studios. It texts the caller back within seconds and, if you opt in, books the appointment into Square Appointments under the right provider. Write-back needs Square Appointments Plus or Premium. On the free plan you get the text-back and the lead.

  1. Saturday, 10:30 AM

Both rooms full, phone on silent in the back

The caller gets a text while your guest stays undisturbed.

  2. 7:55 PM, mid-facial

Mask setting, extractions next, hands nowhere near a phone

She texts back 'facial Sunday' and it's on Camille's schedule.

  3. 9:30 PM, after close

Candles out, laundry running, phone rings once more

The treatment is booked before you're done folding towels.

The room stays quiet

A spa runs on quiet. Lights low, music down, a guest on the table with a mask setting or hot stones on their back. The one sound that doesn't belong in that room is a ringing phone, so you keep it in the other room, on silent, and you check it between guests. That works until you look at the missed-call list at the end of the day. Six numbers, no voicemails, and no idea which of them wanted a facial this weekend. People booking spa services are booking a treat for themselves. If the first attempt is friction, they don't try again. They book somewhere that got back to them.

What the text says

StillBooked texts those callers back within seconds of the missed call. The message says you're with a guest, asks what they'd like to book, and asks when works. They reply: '60-minute facial, Sunday afternoon.' If your spa runs Square Appointments Plus or Premium, that appointment lands on the right esthetician's schedule with the guest's name and phone attached. If you're on free Square, or on Booksy, Vagaro, or GlossGenius, the caller gets your booking link and you get the lead by text. There's no bot answering the phone. The room stays quiet. The booking still happens.

The moments you actually miss

It fits the shape of a spa day. Treatments are long, often an hour or more, and they can't be paused. A facial mask is on and the extraction step is next. A body wrap is set for twenty minutes. You're doing a lash lift and the guest's eyes are closed. There's no version of that where you step out to take a call, and you shouldn't. Text-back handles the caller in the meantime. By the time your guest is sitting up and sipping water, the next guest has already picked a time, and you can see the whole exchange on your phone before you reset the room.

After hours is the quiet leak

Evenings and Sundays are when spa bookings actually get decided. People think about self-care after the day is done, not during it. A call at 8:40 PM to a closed spa is normal, and normally it goes nowhere. With text-back the caller gets a reply, picks a slot, and it's on the schedule when you open. If you'd rather approve each booking before it posts, that's a setting. So are quiet hours, which treatments can be booked by text, and which providers accept text bookings at all. Gift-card questions and package inquiries don't get booked; they get texted to you as leads so you can handle them properly.

Not a replacement for anyone

For a small spa, one or two treatment rooms and a few providers, there's usually no one whose only job is the phone. The owner does treatments too. StillBooked doesn't answer your phone and doesn't try to. It handles the missed call and hands you the rest. Plans start at $99 a month, no contract. The $199 plan writes bookings straight into Square Appointments on Plus or Premium. A 15-minute diagnosis call is how we look at your call patterns and your booking system and tell you plainly whether it fits, or whether you'd be better off leaving things as they are.

How it works

Catch the call. Text them back. Book it.

  1. 01

    Catch

A call rings out. You're mid-service, or it's after close, or the desk is three deep.

  2. 02

    Text or book

Within seconds the caller gets a text from your business name, in wording you approved. They reply with what they want and when.

  3. 03

    Remind

A confirmation text goes to the client right away. A reminder goes out before the appointment.

Questions

Questions owners ask first

Can it tell the difference between a 60- and 90-minute facial?

Yes. On Square Appointments Plus or Premium, StillBooked books whichever service the caller names from the ones you've set up in Square, so a 90-minute facial gets a 90-minute slot.

What about gift cards and package questions?

StillBooked does not sell gift cards or packages. Those callers get a text back and their question is forwarded to you as a lead so you can handle it yourself.

Does it handle new-guest intake forms?

No. StillBooked doesn't send or collect intake forms. If Square Appointments sends them after a booking, that keeps working once the appointment lands.

We have three providers and two rooms. Can it handle that?

On Square Appointments Plus or Premium, StillBooked books onto the provider the caller asks for and only offers times that provider has open in Square. Room conflicts follow whatever rules you've already set up in Square, and we check your setup on the diagnosis call.
