How it works

Catch it. Text back. Book it.

StillBooked recovers missed calls, after-hours calls, and mid-service overflow for independent hair salons, barbershops, nail salons, spas, and massage studios. It texts callers back within seconds and, when you opt in, books them straight into Square Appointments. It works in three steps: catch the missed call, text the caller back and let them book, then send confirmation and a reminder. Booking write-back needs Square Appointments Plus or Premium.

01

Catch

A call rings out. You're mid-service, or it's after close, or the desk is three deep. The missed call is the trigger. Nobody picks up, and no bot talks to the caller. You keep your number and your voicemail.

What you see

  • A missed-call entry with the number and time
  • A tag for why: mid-service, after hours, or overflow
  • Nothing else. The caller heard your normal voicemail

02

Text or book

Within seconds the caller gets a text from your business name, in wording you approved. They reply with what they want and when. On Square Appointments Plus or Premium, StillBooked books the slot onto the right staff member's calendar. On the free Square plan, or on Booksy, Vagaro, or GlossGenius, the caller gets your booking link and you get the lead.

What you see

  • The text thread, both sides, on your phone
  • A new row in Square Appointments with service, staff, and slot
  • Or, on a bridge, a lead text with the caller's number and request

03

Remind

A confirmation text goes to the client right away. A reminder goes out before the appointment. If they need to move it, the reply comes to you. Fewer no-shows, and nobody on your team had to send a thing.

What you see

  • The confirmation text with service, staff, and time
  • The reminder, sent on the schedule you set
  • Any reply from the client, forwarded to you

You stay in control

Automation only helps if it does what you'd do. These are the switches.

  • Approve before book: every request waits for your tap before it posts to Square.
  • Quiet hours: no texts go out to callers between the hours you set.
  • Staff rules: pick which staff accept text bookings and which services they take by text.
  • Consult-first services: mark anything that needs a conversation, and those callers come to you as leads instead.

Questions

Questions owners ask first

How is this different from an AI receptionist?

StillBooked does not answer your phone with a bot or talk to your callers. When a call is missed, it texts the caller back, and if you're on Square Appointments Plus or Premium it can book the slot. You decide who gets booked, when, and with whom.

What happens if the caller doesn't reply to the text?

Nothing is booked and nothing else is sent unless you've set a follow-up. You still see the missed call and the number, so you can call back when you have a free hand.

Can I approve bookings before they land in Square?

Yes. Turn on approve-before-book and every request waits for your confirmation before StillBooked writes it to Square Appointments.

Does it work when the shop is closed?

Yes. After-hours calls are the ones nobody is there to take, so they're where a text-back matters most. The caller gets a text back at 9 PM, picks a slot, and it's on the calendar when you open.

Do I need a new phone number?

No. You keep your business number and your voicemail. Booking write-back into Square requires Square Appointments Plus or Premium. On the free plan we still text callers back and hand you the lead.
