The missed-call playbook
What is a missed salon call worth?
Reviewed
A missed call is a question to investigate, not a confirmed lost booking. Hair, barber, nail, spa, and massage owners can compare unanswered calls with actual open slots before choosing a response process. Booking write-back into Square requires Square Appointments Plus or Premium. On the free plan we still text callers back and hand you the lead.
Start with a normal week
Review a full week of your own call log. Separate new appointment questions from existing-client changes, repeat callers, sales calls, and wrong numbers. Keep the counts private; you do not need to publish client details to understand the pattern.
Group unanswered calls by mid-service, after hours, and other times. A Saturday rush and a quiet Tuesday can need different responses. Record whether each caller received a reply and whether an appointment followed.
- Count unique callers with a booking question.
- Mark when the shop could reasonably have served them.
- Check whether the requested service and staff member had an open slot.
- Record appointments that were actually booked and attended.
Estimate opportunity, then subtract reality
A planning model can multiply eligible missed callers by a possible booking share and your average service ticket. Use a low and high assumption for the booking share, and label both as assumptions. A caller who was going to book anyway is not incremental revenue.
Our homepage calculator converts a weekly call count to a monthly estimate and applies a stated recovery range. Those settings are illustrative assumptions, not measured results from customers. The estimate is gross service value before supplies, staff costs, discounts, cancellations, and software fees.
Capacity is the limit. If the relevant appointment slots are full, a faster reply may help service but cannot create another chair or treatment room. Start by improving the calls you can actually turn into available appointments.
Choose a response you can verify
Run the same review after changing your missed-call response. Count genuine booking conversations, confirmed appointments, and attended appointments separately. Keep callers who already had bookings out of the new-booking total.
On a diagnosis call, bring the pattern rather than an inflated revenue estimate. A booking-link text-back may be enough. If you need seller-level Square booking write-back, first confirm the shop’s plan and demonstrate that a booking reaches the correct calendar.
