Handle the gap after a missed appointment.

Missed calls, late cancellations, and no-shows create different gaps in a beauty business’s day. Start by recording what happened, then choose a clear follow-up that fits your booking policy and available appointments. Booking write-back into Square requires Square Appointments Plus or Premium. Name the gap correctly

A missed call can happen before any appointment exists. A late cancellation removes an appointment that was on the calendar. A no-show means the client did not attend an appointment that remained scheduled. Combining them makes it difficult to see which response helped.

Keep a simple private record: appointment date, service, whether the client cancelled, whether someone else filled the slot, and whether the original client later rebooked. Track attended replacement appointments separately from unconfirmed conversations.

Make the policy clear before booking

A card hold, a deposit, and a cancellation fee are different arrangements. Use the terms and payment settings your shop has actually adopted, and show them to the client before they agree to the appointment. A text conversation alone should not be described as proof that a card hold or fee was applied.

Follow up with one useful question

Example wording for an owner-reviewed follow-up: ‘We missed you at your appointment. If you’d like to rebook, reply with a day that works and we’ll check what’s available.’ Adapt it to the situation and your existing policy. It is a draft example, not a message this page sends.

If you have a waitlist, check that people still want the service and can use the released time. An opening is only filled once the replacement appointment is confirmed. Do not add a person to future promotional messages just because they asked about one available slot.

Measure attendance, not message volume

Review how many cancelled or missed appointments were replaced by attended appointments. Separately count clients who returned at a later date. A sent message, a reply, and a rebooking are different milestones.

Use that record to decide whether clearer booking expectations, an owner reminder, or a revised follow-up process deserves attention. The diagnosis starts with those gaps; it does not assume that more automation is always the answer.
