The missed-call playbook

A Square link and a Square booking differ.

Reviewed

A booking-link text lets a caller choose an appointment themselves. Seller-level write-back creates the appointment in the shop’s Square calendar after the requested slot is checked. For beauty businesses considering this workflow, booking write-back into Square requires Square Appointments Plus or Premium. On the free plan we still text callers back and hand you the lead.

A link hands booking back to the caller

With a text-back bridge, the caller receives the shop’s booking URL and completes the booking there. The shop receives the lead for follow-up. Sending a URL does not show that the caller opened it or that an appointment was created.

This can be a useful starting point for Square Free, Booksy, Vagaro, or GlossGenius shops. StillBooked describes the latter calendars as text-back bridges. They are not advertised as native booking write-back.

Seller-level write-back needs a plan check

Square’s CreateBooking documentation requires Appointments Plus or Premium for seller-level booking creation. Buyer-level permissions are a different API capability; the existence of that path does not establish that a shop qualifies for StillBooked’s seller-level workflow.

Ask to see the relevant location, service, staff member, and time in the calendar after a test conversation. An authorization screen, a booking-link click, or a screenshot of an illustrative conversation is not the same proof.

Use a short acceptance checklist

Review the complete booking path before enabling it for a shop. A sandbox demonstration checks the workflow in a test environment; a controlled production demonstration checks the real seller setup.

  1. Verify the seller’s plan and selected location.
  2. Choose a real bookable service, staff member, and available slot.
  3. Approve the request under the shop’s booking rules.
  4. Confirm that the appointment appears in Square with the expected details.
  5. Confirm that the caller’s message reflects the actual calendar result.
  6. Test an unavailable slot and the owner-handoff fallback.

What a StillBooked diagnosis establishes

The diagnosis checks whether link-based text-back or opt-in Square write-back fits your shop. Text-Back is $99 per month; Square Write-Back is $199 per month. Square’s own subscription is separate, and its current price should be checked directly with Square.

This guide explains the workflow and evaluation criteria. It is not a customer case study or evidence of a completed production pilot. Illustrative site walkthroughs remain labeled as examples.
